In today’s fast-paced business environment, effective teamwork is more important than ever. In response to the rising demands of the modern business landscape, we need to empower our employees to solve a critical pain point: collaboration overload. This phenomenon, characterized by an excessive amount of time spent on communication tasks, has led to a significant misallocation of time – time that could be better spent on activities with a higher business impact. After all, where we spend our time is not always where we have the biggest impact.
One task that consumes a substantial chunk of our day is organizing meetings. This is especially true for management assistants, whose valuable time could be redirected towards more meaningful work. To accomplish this, the Digital Assistant Suite (DAS) was introduced as a digital tool to optimize the meeting planning process.
By leveraging the power of AI, it navigates through the complexities of attendees’ schedules. It suggests the most suitable times for meetings, takes over reminding people to submit their availability, and collects user data to enhance future efficiency. The implementation of DAS simplified and improved the scheduling experience from start to finish.
The Digital Assistant Suite has been developed in close collaboration with our management assistants, the specialists in the art of meeting coordination. Their expertise was instrumental in designing a user-friendly interface that harnesses AI to drastically cut down the time needed to organize complex meetings. It is a great example of how PwC’s BXT method helps to build solutions to actual problems. The result is a tool that not only enhances productivity, but also improves the quality of meetings themselves.
Overall, the Digital Assistant Suite stands as a testament to the power of digital transformation in the workplace. It empowers all employees to plan and conduct highly effective meetings, offering a smarter way to collaborate and a path to a more focused and impactful business operation.
While the Digital Assistant Suite (DAS) was crafted with the needs of management assistants in mind, its benefits extend to all employees. Picture this scenario: you need to arrange a meeting that includes various colleagues across multiple departments. The challenge of aligning everyone's schedules, particularly when juggling numerous calendars, some of which you can't even see, is all too familiar. This is where DAS shines, simplifying the process to pinpoint the most convenient time for your gatherings. Seamlessly integrated with Microsoft or Google calendars, DAS not only finds the time but also manages your invites.
DAS boasts a user-friendly and intuitive interface. Simply input the essential details of your meeting—title, type, location, duration, and participants. DAS then scans through the attendees' calendars and suggests the most compatible meeting slots based on everyone's availability. You'll be presented with the likelihood of each attendee's presence, allowing you to tweak the details for even better alignment. Once you've landed on the ideal time, you can secure it directly through DAS (exclusive to assistants) or send out proposals for attendees to confirm. DAS takes care of all subsequent communication and reminders for you. Plus, with the DAS dashboard, you have a panoramic view of your meetings, with the flexibility to edit or cancel as needed.
